Energy Optimum and Solar Optimum ("we", "us", "our") operate Optimum's Key, an institutional operating platform for solar EPC, ownership, development, and finance workstreams. This Privacy Policy explains how we collect, use, disclose, and protect your information when you access the platform.
Account data: Name, email address, role, and authentication credentials required to access the platform.
Usage data: Pages visited, actions taken (document uploads, project edits, workflow steps), IP address, browser type, and session timestamps for security and audit purposes.
Business data: Project records, financial data, vendor information, procurement documents, and any other data you enter into the platform in the course of business operations.
Uploaded files: Documents, photos, and attachments you upload to the Document Vault or Daily Reports are stored on Base44's infrastructure.
We use your data to provide the platform's core features: project management, financial reporting, document storage, vendor management, and workflow automation. We do not sell your data. We do not use your data for advertising.
Audit logs of document actions (upload, download, delete) are retained for security and compliance purposes and are accessible to workspace administrators.
All data is stored on Base44's cloud infrastructure, hosted on servers in the United States. Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Document files are stored at stable, authenticated URLs accessible only to authorized users.
Access to data is role-based. Admins can view all project data within their workspace. Project Managers can view data for projects they are assigned to. Standard users have access only to records they create or are explicitly shared with them. No employee or contractor of Energy Optimum or Solar Optimum can access your data without your workspace admin granting explicit permission.
Base44 — our infrastructure provider. Provides database, authentication, file storage, and backend function hosting. Their privacy policy is at base44.com/privacy.
Dropbox — optional document mirroring integration. When you connect your Dropbox account, documents uploaded to the Vault are optionally mirrored to a dedicated App Folder at /Apps/Optimum's Key/ inside your Dropbox. We access only that folder. We do not read, index, or share content outside it. You can disconnect Dropbox at any time from Settings → Integrations. Dropbox's privacy policy is at dropbox.com/privacy.
Anthropic — AI analysis capabilities. When you use Claude-powered features, document content or prompts may be sent to Anthropic's API. Anthropic does not use this data to train models per their API terms. Their privacy policy is at anthropic.com/privacy.
Project and financial data is retained for the lifetime of the workspace unless you request deletion. Documents with a "legal-hold" retention policy are exempt from deletion requests until the hold is released by an admin. Standard documents can be deleted at any time by authorized users.
You may request access to, correction of, or deletion of your personal data at any time by contacting your workspace administrator or emailing us at the address below. If you are in the European Economic Area, you have rights under GDPR including the right to data portability.
